1. Code of Conduct

As a condition of membership, all members agree to:

• Treat fellow members, committee members, and venue staff with courtesy and respect at all times
• Engage in fair, sportsmanlike play and avoid disruptive, abusive, or discriminatory behaviour
• Take reasonable care of Club property, terrain, and venue facilities, and report any damage promptly
• Comply with the rules and etiquette set out in any Club or event-specific mission packs and guidelines
• Refrain from the use of illegal substances on Club premises and adhere to the host venue's own rules and code of conduct

The Club committee reserves the right to suspend or terminate membership, without refund, in the case of serious or repeated breaches of this Code of Conduct.

2. Membership Fees & Cancellation

• Membership fees are as selected and confirmed on this form, and are subject to annual review by the Club committee
• Fees are non-refundable except at the sole discretion of the committee (for example, in the case of long-term illness or relocation)
• Members may cancel their membership at any time by providing written notice (email is acceptable) to the committee; no further fees will be due from the next billing period
• The Club reserves the right to amend membership fees with a minimum of 30 days' written notice to members

3. Liability & Indemnity

Participation in Club activities, including but not limited to game nights, tournaments, and social events, is undertaken voluntarily and at the member's own risk.

• The Club, its committee members, and volunteer organisers accept no liability for any injury, loss, or damage to persons or property arising from participation in Club activities, except where caused by gross negligence or wilful misconduct on the part of the Club
• Members are responsible for their own property (including miniatures, terrain, and personal belongings) brought onto the premises. The Club is not liable for loss, theft, or damage to personal property
• Members indemnify and hold harmless the Club, its committee, and the venue against any claim arising from their own conduct or negligence while participating in Club activities

By submitting this form, the applicant (or their parent/guardian, if a minor) confirms they have read, understood, and accept this liability and indemnity clause.

4. Data Protection & Photography Consent

The Club collects and processes personal information provided in this form solely for the purposes of membership administration, communication, and event organisation, in accordance with the Protection of Personal Information Act (POPIA).

• Your information will not be shared with third parties without your consent, except where required by law
• You may request access to, correction of, or deletion of your personal information held by the Club at any time

5. Minors (Members Under 18)

Where the applicant is under the age of 18, this agreement must be read, completed, and submitted by a parent or legal guardian on the minor's behalf.

• The parent/guardian confirms they will remain responsible for the minor's conduct, supervision, and collection from the venue at the end of sessions unless alternative arrangements are agreed with the committee in advance
• The parent/guardian accepts the liability, indemnity, and data/photography terms set out above on behalf of the minor
• The Club committee may, at its discretion, request that a parent/guardian remain on-site during sessions for younger members
